This Privacy and Confidentiality Agreement (“Agreement”) is entered into between US Apostille Specialists (“Company”) and the undersigned client (“Client”) for the purpose of protecting personal and sensitive information provided in connection with apostille, document authentication, and related services.
1. Purpose
Client agrees to provide personal information and official documents to Company for the purpose of obtaining apostille certificates, authentication, legalization, translation, or related document services.
2. Information Collected
The information provided by Client may include, but is not limited to:
• Full legal name
• Date of birth
• Address and contact information
• Identification documents (passport, driver’s license, etc.)
• Birth, marriage, death, or other civil records
• Notarized documents
• Government-issued identification numbers
• Any other documents necessary to complete apostille or authentication services
3. Confidentiality
Company agrees to maintain strict confidentiality of all personal information and documents provided by Client. Such information will only be used for the purpose of completing the requested services and will not be disclosed to third parties except:
a. Government agencies responsible for apostille, authentication, or legalization processing
b. Shipping or courier services required to deliver documents
c. Authorized employees or contractors directly involved in processing the Client’s request
d. When required by law or court order
4. Data Security
Company will take reasonable administrative, physical, and electronic safeguards to protect Client information from unauthorized access, disclosure, alteration, or destruction.
5. Data Retention
Client information and copies of documents may be retained for recordkeeping, quality assurance, or legal compliance purposes for a reasonable period of time. After such time, records may be securely deleted or destroyed.
6. Client Responsibility
Client represents that all documents and information provided are accurate and that the Client has the legal right to submit such documents for apostille or authentication services.
7. Limitation of Liability
Company is not responsible for delays, errors, or rejections caused by government agencies or third-party processing entities.
